Hotel Guest App Pilot Launch Checklist

Launch a controlled hotel guest app pilot with realistic rooms, booking rules, languages, staff training and integration failure tests.

Do not transform the whole hotel in one day

A hotel guest app pilot verifies a small number of real guest and staff actions before a property-wide rollout. Rezervem Stay is the guest-facing channel, tested with the hotel's actual booking, PMS and enabled service systems. In a multi-outlet property, launch a first controlled restaurant and small set of test stays. Prove the route from guest eligibility to the staff's actual booking record before broadening the guest journey.

Include full capacity, outdated room data, wrong dates, lost network connections and cancelled bookings. 'The portal opens' is not a sufficient acceptance result.

Freeze operating rules before rollout

Agree the opening hours, meal periods, party limits, post-checkout access and paid restaurant terms for the pilot venue. Identify who is authorised to update these rules.

Marketing photos and guest-facing descriptions do not replace approval of live booking capacity, permission and policy settings.

Test devices, languages and session security

Test common mobile browsers, weak connections and the supported guest languages. Arabic layouts should be checked in right-to-left presentation, including date selection and errors.

When a stay ends or a room is reassigned, old sessions should lose the authority to book. Verify QR links lead to the correct property and do not disclose another guest's data.

  • Check QR access and the first guest-facing screen.
  • Test failed verification and expired sessions.
  • Check an outlet when open, closed, full and paid.
  • Create, view, cancel and, where supported, review a booking.
  • Test a room change, checkout and a multi-room party.
  • Confirm guest messaging during a PMS or API interruption.

Train employees with actual guest cases

Front-desk staff need a process for 'guest cannot sign in'; the restaurant team needs one for 'booking does not appear'. Use concrete cases, not only presentation slides.

Review sign-in attempts, completed bookings, cancellations and support cases daily during the pilot. Resolve access problems before driving more traffic.

Begin with staff test stays, then supervised real bookings, and finally the confirmed restaurant outlets. Record which actions completed unaided and which required intervention; fix repeated errors before expanding.

Prove each activated guest action end to end

The test matrix should include actual reservation confirmation and, where enabled, Experience purchase, Pay collection, QR Order, Hospitality requests and post-stay feedback. Each action needs a separate system owner and confirmed status.

Also test incorrect room details, another property's QR, a payment network failure and an expired stay. The full target product architecture must not be assumed active for each hotel.

Compare web and branded mobile where available

Web/QR access is one Stay channel; a hotel-branded iOS or Android app is an optional deployment with separate store and privacy requirements.

Where the app is actually deployed, compare the same restaurant booking, purchase, order and task in both channels. Do not assume that a mobile application has already passed review or reached every guest.

Roll out Rezervem modules in verified stages

The hotel guest app has a browser-based dining reservation flow and venue language and branding settings. Stay is the guest-facing journey, Manager the restaurant operation, and PMS the authorised stay data.

Activate proven restaurant booking first, then selected ordering or service tasks, and only then verified pre-arrival or post-stay features. Do not show a disabled service as available. Explore Stay.

REZERVEM STAY Stay

One guest journey, clear responsibility.

Rezervem Stay supports the guest-facing journey. Each reservation, order, payment, request and PMS record remains with its specialist system. Verify which steps are enabled in your hotel.
