What should a restaurant check before using guest data?
A restaurant should verify that guest records are accurate, collected for a clear purpose, limited to what the service needs and available only to authorized employees. Rezervem CRM supports guest information alongside Manager reservations; Rezervem Connect handles eligible campaign communication separately. A reservation record is not itself permission to send promotional WhatsApp messages.
Imagine a front-desk team collecting a phone number for a booking and later adding it to a holiday promotion. The original booking purpose and the marketing purpose are not interchangeable.
1. Identify each source and why it was collected
List booking forms, telephone reservations, QR guest registration, imported files and supported POS connections. Record the source and purpose of each field. Avoid asking for personal details that neither the upcoming booking nor the intended service requires.
2. Correct duplicates and unreliable history
Two guest cards with one name may represent different people; one incorrectly typed number may link visits to the wrong record. Check date, venue and identifiers before fixing entries. Keep canceled bookings, missed arrivals and completed visits distinguishable.
3. Review staff access and retention
Decide who may read a guest note, change a phone number or export a list. Limit cross-location access according to configured roles, legal responsibilities and the data-sharing purpose. Establish a documented procedure for access requests, correction, retention and deletion.
4. Separate service messages from promotions
A booking confirmation and an offer for a special event serve different purposes. Before promotional WhatsApp communication, check applicable commercial electronic messaging permissions, İYS requirements where relevant, opt-outs and WhatsApp channel rules. A CRM segment or VIP label does not replace these checks.
5. Build a safe campaign handoff
If a campaign is appropriate, review the intended audience, remove ineligible contacts, use a suitable approved message template and retain permission evidence under the restaurant's compliance procedure. Rezervem Connect is responsible for campaign sending; CRM is not a substitute for consent management.
How Rezervem supports an accountable workflow
Rezervem Manager manages booking operations, Rezervem CRM helps staff work with guest records and classifications, and Rezervem Connect supports permission-based WhatsApp activity. The restaurant remains responsible for determining and documenting its lawful use of personal data.
Run a monthly data-quality review
Sample recent guest cards: can the team explain each note, is the contact still accurate, were unnecessary details removed, and would the person be excluded from campaigns after opting out? Record who performed the review and which corrections were made. Adapt the process with qualified legal guidance to your jurisdiction.
Trace permission through the guest journey
For a practical control, trace one sample contact through the entire journey: telephone booking, arrival, guest-record update, optional marketing invitation and opt-out. Ask the host to explain which data was needed for the booking and ask the marketing manager to demonstrate the independent evidence for promotional contact. If either step cannot be explained, stop that use case until it is clarified.
Data quality also requires a response when an error is found. A misspelled phone number can link someone else's visits to the wrong guest. Document how staff correct or restrict that information, who reviews the change and which connected lists must reflect the corrected status. Do not assume a change in one screen instantly updates every external service.
