How to track guest requests at a hotel

Track guest requests through intake, department ownership, target times and verified completion, with clear channel and notification limits.

First distinguish a request from a completed task

A guest may ask for towels, room service or help with a faulty air conditioner. A fast reply is useful, but it does not mean the work is done. Record when the request arrived, who owns it and what completion will mean.

Telephone calls, WhatsApp messages and front-desk requests should be routed into a consistent workflow, while retaining the context needed by the responsible team.

Give every request an owner and a target

Assign a department, location or room, urgency, responsible person and target time. A technical fault should not follow the same service target as a simple amenity request.

At shift change, unresolved tasks should remain visible, with their status and next action. Do not rely on the previous shift's memory.

Make guest updates conditional on channel readiness

A guest-facing acknowledgment, a staff assignment and the message confirming completion are three different events. Only tell the guest the work is done once staff have actually completed the task.

Automated WhatsApp or call responses depend on connected, enabled channels. Staff push delivery requires a configured notification provider, device registration and notification permissions; an automatic message is not guaranteed in every property.

Follow the task in Rezervem Hospitality

Where modules and rights are enabled, Rezervem Hospitality can route supported guest requests as department tasks and show their assigned, in-progress and completed states in the staff app and operations board.

The guest's stay details depend on an authorized supported integration; an automatic direct PMS match must not be assumed. Explore Hospitality.

Measure service quality beyond message volume

Track the time to ownership, completion against target, recurring faults and requests reopened after a premature closure. Review which processes cause repeat calls rather than measuring the number of AI replies alone.

Start with three request types and test who receives each task, what the supervisor sees and whether the guest is notified through the actual configured channel.

HOTEL OPERATIONS AND STAYS Hospitality

A good hotel never forgets a request.

Where enabled, Rezervem Hospitality brings supported guest requests into department task workflows. Connected channels and stay data are property-specific; automated updates and push notifications need configuration.
