A breakdown and a maintenance schedule solve different problems
A broken air conditioner needs a response today. Its regular filter inspection is planned maintenance. Connecting both to the same equipment record helps a team see recurring faults.
Define the assets worth tracking, where they are installed and who can open, assign and close maintenance work.
Set up asset records that field teams can find
Give each asset a usable code and record its building, floor and specific location. Store the equipment description, state and relevant documentation so staff can identify the correct item.
An asset register should not be mistaken for a complete consumable inventory and automatic stock accounting system unless those workflows have been separately verified.
Attach QR labels to the correct equipment
Print and place the asset's QR label, then verify that scanning it resolves to the correct record for an authorized staff member. Confirm the equipment identifier and actual physical location.
Define a procedure to replace or revoke labels after changes. Scanning a code starts a traceable process; it does not itself prove a fault was resolved.
Track each work order to resolution
Record impact and urgency before assignment. Assignment, in-progress work, holding a job and completion with a resolution note are different operational stages.
Where maintenance is enabled, Rezervem Hospitality supports locations, assets, QR labels, maintenance plans and work orders. Confirm module flags and staff permissions before rollout. Explore Hospitality.
Review repeated faults, not just closed work orders
If the same device fails repeatedly, review fault history alongside scheduled maintenance and delays rather than celebrating a fast closure alone.
Pilot one floor first: test asset lookup, QR resolution, work-order creation and history with the people who will use the system.
