Restaurant Group CRM: Branch Access, Guest Data and Segments

Plan guest management across restaurant locations with explicit access roles, data boundaries and useful group reporting.

How should a restaurant group manage CRM across branches?

Start with a clear inventory of locations, operating companies, guest-data purposes and staff roles. Rezervem Manager and CRM can support account-based guest workflows, but a central guest view does not mean that every employee can access every location's information. Verify the actual account structure and permissions before claiming a shared customer database.

Picture a group with a busy city restaurant and a seasonal seaside location. A guest may visit both, but the group should first decide who needs which information and on what legal and operational basis.

1. Map accounts, restaurants and legal entities

List each restaurant, its operator and the relevant Rezervem account. Identify which team controls the guest data and which location needs access to it. Cross-company sharing may require additional privacy and contractual analysis; software configuration alone is not permission.

2. Define roles before exposing data

Create test roles for a host, location manager and group analyst. Examine guest-card read access, update rights, exports and segmentation views. Test both allowed and denied access with synthetic accounts; do not rely on a verbal assurance.

3. Agree on guest identity and record corrections

Two branches might enter different phone formats for the same person, or two people may share a name. Establish a review process for duplicates and mismatches. Never assume cross-account records will combine automatically just because the company owns both venues.

4. Keep branch-level performance distinct from account totals

A guest's account-level visit total is not automatically a restaurant-by-restaurant performance report. Confirm the reporting view's scope, dates and filters. Avoid using a group summary as evidence that a guest visited a particular branch.

5. Define shared and local classifications

A group might standardize what 'frequent guest' means while allowing a venue-specific service tag. Document the purpose and owners of each segment, list and level. Review whether classification data may be shared beyond the originating restaurant.

6. Separate campaigns from operational visibility

Even where the group can prepare an audience, commercial communications require an independent recipient, opt-out and permission check. Rezervem Connect is the messaging product; a group CRM record alone is not a universal marketing consent.

How Rezervem supports the operating model

Rezervem Manager manages restaurant reservation workflows and staff operations, while Rezervem CRM supports guest records and classifications. The precise group setup, account boundary and permitted access should be demonstrated with the group's actual configuration.

Prove both access and restrictions

The first pilot should test negative permissions as carefully as positive ones. Create fictional guests for two branches and try the same view as a host, branch manager and group analyst. Document which record appears, which action is blocked and who approved the configuration. A successful group project proves that unnecessary access is denied, not just that convenient access works.

Set a shared language for your reports. 'Regular' might mean three visits within one venue for a local team but ten visits across an account for a head office. Unless the definition and time window are written down, a regional ranking will compare different things. The same applies to completed visits, canceled bookings and spending linked through a POS integration.

Before launch, ask the responsible managers and privacy adviser to approve the account map, permitted sharing purposes, correction process and communication handoff. Revisit these decisions when adding another brand or operating company; yesterday's permissions may not fit the new structure.

Frequently asked questions

**Can all branches see all guest data?** Do not assume so. Verify the account design and role permissions.

**Are account totals branch reports?** No. Confirm each report's aggregation scope.

**Can a group merge guest records automatically across legal entities?** That requires proven product functionality and a lawful data-sharing basis.
