What is a useful guest note?
A guest may have asked for a quieter table on a previous visit. A relevant note helps colleagues prepare; it should not become a place for assumptions or sensitive personal details.
Write only what matters
Open the guest or booking record available to your role in Manager. Record a short, factual request, such as “Prefers terrace seating; availability to be confirmed on the day”, without turning it into a promise.
- Did the guest say this, or is there a verified service event?
- Will the note genuinely help the next visit?
- Are access and retention consistent with the venue’s policy?
What should not go in a note?
Avoid unnecessary health details, discriminatory labels, subjective judgments and card information. A service note is not a marketing-consent record.
Check before the next service
Confirm that the preference still applies. If it has changed, update the record through an authorized workflow rather than presenting a colleague’s recollection as a fact.
