Hotel Room Inventory and Booking Channels: Avoiding Overbooking

Understand room types, physical room allocation and how live OTA availability differs from receiving reservations.

What does room inventory mean in a hotel?

Room inventory is not simply the number of empty bedrooms. A room type is what you sell; a physical room is what you assign to a guest. A room may be clean yet out of service, or sellable but not ready for check-in.

For example, if a small hotel has four rooms in one category, three occupied and one removed from sale for maintenance, the availability for that night is zero regardless of the spare room number shown in a spreadsheet.

Protect both capacity and individual room assignments

Overbooking prevention needs two checks: how many room-type nights are available, and whether a physical room is already assigned to another overlapping stay. Changing the departure date or moving a guest can affect both.

Do not use housekeeping labels as the sole availability indicator. A dirty room can remain sellable for a future arrival; an out-of-order room should not be sold.

Distributing availability is different from importing bookings

An OTA or channel manager normally sells from a copy of the availability, prices and restrictions the PMS sent earlier. Pushing those values is a separate workflow from receiving, acknowledging or changing a booking.

Before making a channel live, test room-type and rate-plan mapping, a new booking, a modification, a cancellation and what the system does after a failed synchronization. A configured adapter in test or shadow mode is not evidence of a live connection.

How Rezervem PMS applies these rules

Rezervem PMS models room types and physical room assignments separately. It prevents overlapping allocation of the same room at database level and maintains availability and stay records for the property.

Channel infrastructure includes adapters for providers such as Booking.com and HotelRunner. The live capabilities, credentials and room mapping are enabled and verified property by property. Before changing systems, list your room categories, active bookings and channel mappings; Rezervem PMS can then be evaluated against your real inventory.
