Pre-check-in starts the welcome before arrival
Hotel pre-check-in lets a guest provide selected details before arriving so the front desk can prepare. Rezervem Stay supports this intended pre-arrival journey; completing a web form does not automatically complete official PMS check-in. After a long journey, guests would rather receive a warm welcome than enter the same details into several forms. Pre-check-in can let guests submit suitable information in advance, while the hotel prepares.
Rezervem Stay is the intended guest-facing pre-arrival flow. The exact fields, security steps and PMS write capabilities must be verified for each deployed property.
Guests complete the form at a convenient time
After booking, a hotel may provide a pre-check-in link. The guest can open it from their phone without installing an application, where this process is enabled.
Collect only relevant details and explain their purpose. Identification and contact data require an appropriate lawful basis and secure handling.
Keep a clear confirmation of what was submitted and what the guest must still complete on arrival. A submitted form is not a verified official stay.
The first minutes at the hotel can be calmer
A guest who has provided suitable information before arrival may need fewer repetitive questions at reception, particularly during a busy arrival window.
That improvement should be measured through waiting time and repeated entry, not assumed from the number of opened links alone.
Front desk teams can prepare with better information
During a busy shift, staff need to locate the reservation, verify required details and welcome the guest. Preparation should support those tasks rather than bypass them.
Authorised staff should be able to see received information and outstanding checks in whatever system the hotel actually supports.
A hotel must confirm if a field is only collected in the guest interface or is truly written to the PMS. These are different capabilities.
Keep a conventional arrival option
Not every guest will use a link. Late bookings, language barriers and personal preferences all make a conventional front-desk check-in necessary.
Room keys, payments and legal identity checks follow the hotel's policies and applicable obligations.
Plan a fallback when the link cannot be opened or data does not match the reservation. Explore Stay and the pre-check-in guide.
