What is restaurant CRM?
Restaurant CRM is a way to turn reservation and visit history into useful context for guest relationships and service preparation. It is more than a contact list: the team needs to find relevant past visits, preferences and current service notes when they matter.
Its value comes not from collecting as much data as possible but from making necessary information available to the right team before service.
What happens to guest knowledge when shifts change?
Imagine a guest visiting early in the week and sharing a useful preference with one member of staff. If that knowledge lives only in that person's memory, the weekend team may be unprepared when the same guest books again.
The answer is to link relevant, current and purpose-limited notes to the guest's record—not to record every detail. Staff can then check the new reservation against previous information without treating an old preference as a permanent instruction.
Manager handles the service; CRM provides guest context
Rezervem Manager handles reservations, floor plans, waitlists and visit status. Rezervem CRM, working alongside Manager, connects guest profiles, tags, segments and lists with those records.
CRM does not replace Manager as a separate reservation system. Its role is to keep useful guest context alongside the booking that the host team is already managing.
Must you tag every guest's behavior by hand?
No. Manual tags and lists can reflect a venue's own service categories. Rezervem Smart Segmentation is a distinct capability that automatically analyzes visits, last-visit dates, meal periods, spending and reservation behavior. The system can show guest counts and members for 25 preset segments in five groups.
For instance, a guest who has not visited for a long time but has an upcoming booking should not be treated as a straightforward win-back prospect. Because segments are calculated overnight, review the calculation time alongside the results.
When can you interpret spending and reservation behavior?
Spending groups require reliable transaction values, while no-show analysis depends on sufficiently accurate check-in records. Incomplete data should not lead a venue to wrongly label a guest as a low spender or an absent guest. Where a group cannot be calculated, its data-quality reason may be available.
A person who books is not automatically a person who attended. The articles on guest visit patterns and spending analysis explain why that distinction matters.
Does CRM send marketing campaigns?
No. Permission-based WhatsApp campaigns and messaging are managed in Rezervem Connect. Being visible in CRM or belonging to a segment does not substitute for ETK/İYS requirements or channel-specific permissions. Connect can also operate with its own eligible lists without Manager or CRM.
Gift manages gift entitlements; Socielty, which is still in development, is planned for membership and privileges. These products have separate roles and should not be described as one automatic CRM function.
Where should a restaurant begin?
Ask where service staff currently look for guest information. Identify duplicate profiles and outdated notes, distinguish bookings from actual visits, and then select a preset smart segment that supports a specific operating decision.
For the weekend team in our example, success means finding the necessary context in the correct guest profile and making its own service decision. Explore the workflow on the CRM product page and the evaluation criteria in the CRM selection article.
