Card-hold checklist for arrivals, cancellations and no-shows

Use Rezervem Manager and Pay to check card holds, arrivals, partial attendance, cancellations and no-shows without confusing holds with charges.

Restaurant guest payment and service operations

What the rule actually does

Rezervem Manager records arrivals, cancellations and no-shows, while Rezervem Pay and the connected payment services track authorisations and completed charges separately. A card hold is not a collected payment; staff must review attendance and the disclosed terms before taking action.

A realistic service scenario

Consider a six-person reservation with a TRY 300 per-person hold, totalling TRY 1,800. If only four guests arrive, the policy disclosed for the missing two guests must be evaluated rather than treating the original hold as a completed charge.

Changing the reservation's party size silently before check-in can hide the original financial context. Staff should record the actual number arriving separately and preserve the original payment history.

The operational boundaries

A full arrival may call for releasing a hold, a no-show may permit a charge under the venue's terms, and partial attendance may need a different adjustment. Some configured flows can collect and schedule a partial refund on a later day; this is not a universal setting.

Provider deadlines, authorisation validity and the final bank response matter. Marking a no-show or requesting cancellation in a staff interface is not proof of a completed bank movement.

Five checks before launch

Verify the process with a test booking rather than relying on a button label.

  • Check the original party size, transaction type and terms communicated to the guest.
  • Record the actual arrivals and check-in time in Manager.
  • Verify the card hold's validity and status in Pay and the provider record.
  • Choose the permitted action for full attendance, partial attendance, cancellation or no-show.
  • Reconcile any capture, release or refund with the bank's final transaction response.

How Rezervem handles the workflow

Rezervem Manager is the source for reservation attendance and status. Rezervem Pay provides the related payment context so operators can evaluate the transaction alongside that event. Partial-attendance rules and staff choices can affect the supported action.

Do not promise a same-day refund where settlement rules require a later transaction, or treat an attempted capture as success. The team should communicate only the confirmed financial outcome.

FAQ: Why record actual attendance separately?

The original booking and the number of guests arriving both affect the applicable policy.

FAQ: Does a no-show always result in a successful charge?

No. The venue's policy, a valid authorisation and provider approval are all relevant.

FAQ: Is a partial-attendance refund always same-day?

No. Some supported flows schedule the refund for a later day.
