A room number may not be enough to prove an active stay
Opening a QR menu does not automatically prove that the guest is checked in to that room. Rooms change occupants over time, so the correct stay must be matched before room-linked service or charging.
Check both the order and stay context
Verify the hotel, QR service point and ordering station. The authorised front desk should confirm the guest’s stay status, room number, possible room move and checkout information in its system of record.
- Does the QR code belong to this property and service point?
- Is the stay active and room mapping up to date?
- Is the property’s PMS lookup actually enabled and responding?
Distinguish the likely failure
An unknown stay, incorrect room number, PMS connection failure and offline usage are different issues. Do not promise automatic room-linked ordering or folio posting when accommodation data cannot be verified.
Use a controlled fallback
Staff can verify the guest and room through the hotel’s approved workflow and arrange an authorised alternative service. Routing an order to the kitchen, accepting payment and posting to a folio are separate steps.
