Pre-arrival preparation is different from official arrival
Pre-check-in allows guests to provide selected details before reaching a hotel. Online check-in can mean different things across hotels and legal environments, and may involve additional identity verification and official admission steps.
A form completed on a phone does not by itself mean that the PMS has marked a guest as checked in, a room is available or the property may omit legally required checks. Rezervem Stay supports the intended guest preparation journey; property-specific PMS actions require separate validation.
Separate information into three purposes
First distinguish the information that identifies an eligible reservation, then arrival planning details such as estimated time and preferences, and finally the information legally required for a completed hotel admission.
Explain why each field is collected, how long it is retained and who may view it. Permission for marketing is a separate decision from the processing needed to provide accommodation.
A group arrival makes the distinction clear
Imagine 40 guests arriving on the same afternoon. Collecting appropriate details beforehand can help staff prepare, but an identity mismatch or missing document may still require a check at the property.
A useful front-desk status shows what is missing or awaiting verification, not just whether someone pressed Submit. Measure arrival time and repeated entry rather than inferring success from completion rate alone.
What should you test in the PMS connection?
A guest submitting an answer is not the same as the system successfully writing a PMS profile or performing check-in. Confirm exactly which read and write operations the hotel's installed adapter supports.
Define what happens when the guest changes dates, the stay is cancelled, the form is only half completed or an old link is opened after checkout.
Test a changed arrival date, a second traveller on a group booking, two guests sharing a surname and a cancelled stay. In every case, check who may see the information and what, if anything, is changed in the official stay record.
Treat pre-arrival offers as real commerce
A room upgrade, transfer or celebration package needs a clear price, eligible dates, conditions and fulfilment plan. Displaying a product is not proof of room or service inventory being available.
If an extra is purchased, its order and payment outcome must be tracked independently from the submitted pre-check-in data. Neither successful payment nor pre-arrival preparation automatically changes the PMS's official check-in state.
What does Rezervem Stay support in this process?
Rezervem Stay is the intended guest-facing pre-arrival experience. The scope of data exchanged with the property system depends on the deployed PMS connection; form submission alone does not imply a successful official check-in.
The PMS remains the owner of accommodation status and room data. Explore Stay and PMS as separate parts of the hotel journey.
Paid extras are products and orders managed by Experience, with applicable collection through Pay. Hotel-specific activation must be tested before describing the entire chain as automated.
