How can staff issue a guest reward in Manager?
An authorised member of staff opens the guest or booking record in Rezervem Manager, chooses the appropriate defined benefit and grants it through Gift. Gift records the code, expiry and redemption state.
Choose a real guest record before issuing the benefit. A note promising an unspecified favour is not a substitute for a defined reward that the next shift can recognise.
1. Check the guest and the reason for the reward
Decide whether the gesture is for an occasion, visit milestone or a service recovery decision. Staff should make that judgement rather than assuming a new guest always qualifies.
Check the correct record and booking context, especially where guest names are similar. A reward attached to the wrong profile creates confusion when the recipient returns.
2. Check the benefit and its conditions
Review the complimentary item or discount, eligible venue, expiry date and any day or time restriction. Make sure the staff can actually provide the promised benefit.
A general phrase such as 'on your next visit' is not enough if the entitlement applies only during a particular lunch service. Confirm the rule before it is issued.
3. Separate issuance from notification?
Gift creates the entitlement and its code. Delivery by WhatsApp requires an appropriate provider and verified relevant marketing permission; SMS and email use their own configuration.
When the guest says no message arrived, inspect the actual entitlement first. Do not issue a second reward simply because a notification was not received.
4. Read the Gift indicator correctly
Manager can show a Gift indicator on an eligible guest or reservation. It identifies an unredeemed, unexpired benefit, not unconditional permission to use it at any time.
A lunch-only reward may appear in the guest context during dinner. Staff must still open its conditions before attempting redemption.
5. Redeem by code or gift record
The authorised user locates the reward by code or guest record. Gift checks whether it has been used, cancelled or expired, and applies the current day and time rules.
An eligible use is recorded atomically so two staff members cannot redeem the same code simultaneously. A redemption started from a booking can be associated with that visit; any POS adjustment remains separate.
6. Use the records to inform future gestures
Review issued, redeemed, cancelled and expired benefits rather than counting them all as visits. Distinguish a successful redemption from a proven increase in guest retention.
Use Rezervem Gift for the benefit lifecycle and Manager for service context. Review outcomes with the team before introducing another rule.
