The short answer
Rezervem Experience records what was ordered, but an order is not confirmation of payment or service delivery. Reconcile the order, money collected, any balance payable at the venue, voucher redemption and refunds separately. Confirm actual card collections and bank refunds in the financial records rather than assuming an order status is enough.
Ten tasting-menu orders may appear on a restaurant's Monday report. Some were prepaid, some are scheduled for the next week and others will be paid at the venue. Ten order records do not equal ten successful online collections.
Why the restaurant and finance teams see different totals
The restaurant manager has a healthy order total while the cashier sees a smaller number of card transactions. Both are accurate in different contexts. The discrepancy needs a shared explanation before the figures become a management decision.
Adding payment requests to their underlying Experience orders can double-count sales. Counting redeemed codes as all services delivered is also misleading: a reservation-linked extra may not generate a voucher at all. Refund initiation and a confirmed refund have different meanings.
Five steps to reconcile the same order accurately
Follow the operational, financial and guest-facing details as separate checks so that no stage is assumed to be complete.
- Fix the reporting date range, venue, currency and product filters.
- Separate orders by channel, source and financial status.
- Match confirmed collection with prepaid and outstanding amounts.
- Review redemption codes and reservation-linked delivery separately.
- Match each refund to its original payment and check for duplicate counts.
Where Experience orders and Pay collections meet
Experience maintains order items, sales context and eligible usage records. Rezervem Pay manages payment requests and collection outcomes, while Manager supplies the reservation context. Each system informs the full picture, but the same underlying sale must not be counted as a second source of revenue.
An operational export should never be presented as a substitute for bank settlement. Confirm export scope, any row limit, the authorised viewer's access and which period each financial event belongs to. Identify orders marked payable at the venue as obligations, not completed online charges.
FAQ: Does each Experience order represent a completed payment?
No. An order may be pending, prepaid in part or payable at the venue.
FAQ: Does every delivered extra have a code?
No. Some reservation-linked services are fulfilled without a voucher.
FAQ: Does a refund status guarantee money was returned?
No. Verify the payment provider's successful refund separately.
