How restaurants can win back guests with WhatsApp

A practical approach to permission-based WhatsApp invitations, guest segments and measuring campaigns aimed at guests who have not visited recently.

Inviting restaurant guests back with WhatsApp campaigns

How do you identify the right guests to reconnect with?

A win-back campaign is not a discount message sent to every phone number associated with a guest who has not visited recently. It is a plan to reconnect with relevant guests who have visited before, now come less often and still have valid permission to receive messages.

For example, a guest may have visited twice but not returned for 90 days. If they already have a reservation for next week, treating them as a lapsed guest would make little sense. Consider upcoming reservations, communication permissions and the last visit together.

Start by deciding why you want to invite them back

"Let's message everyone" is not a campaign objective. Define one purpose: introduce a weekday tasting menu, announce a newly launched lunch service or invite interested regular guests to an upcoming event.

Once the objective is clear, the audience, template, timing and measurement can align. Rezervem Connect lets you build purpose-specific segments using guest records, labels and lists.

Three examples of guest segments

1) Guests who have not returned recently: for example, people who visited in the past but not within the last six months and who have the required communication permissions. 2) Guests interested in tasting menus: a permission-based list informed by earlier visits or preferences they have shared. 3) Special-occasion guests: people who shared a birthday or anniversary and have the appropriate permission to be contacted for that purpose.

Avoid unnecessary sensitive or unrelated personal information when creating these segments. Use data consistently with the purposes for which it was collected and the applicable retention period.

A good invitation feels personal without being intrusive

For example: "Hello Ms Ayşe, our autumn tasting menu starts this week. We'd be delighted to welcome you again. You can view the menu and make a reservation through our link." This is sample wording; use it only within an approved marketing template and with the necessary permissions.

Rather than writing "We haven't seen you for six months—why haven't you come back?", which may feel like surveillance or disclose unnecessary visit history, make a natural invitation. Avoid packing five separate offers into one message.

Five checks before sending

Well-written copy is not enough. Do not launch a campaign before checking messaging permission and content compliance.

  • Have the restaurant's ETK/İYS requirements and Meta WhatsApp permissions been checked?
  • Have opt-outs and withdrawn permissions been excluded from the list?
  • Has Meta approved the marketing category and text of the template?
  • Are the reservation link and event date correct?
  • Is the sending frequency planned to avoid disturbing guests?

Don't judge results on read rates alone

Delivery and read rates tell you about message distribution. The actual business objective may be a new reservation, interest in an event or a repeat visit. Measure these outcomes separately wherever possible. Attribution methods depend on which product integrations provide the measurement. A read receipt alone does not prove a reservation came from the campaign.

In Rezervem Connect, you can review campaign delivery, read and undeliverable statuses. To measure reservation conversion, separately verify the relationship between the link, channel and reservation data.

How do Connect, Join and Gift work together?

Connect supports targeting and sending permission-based WhatsApp invitations. Join supports the guest profile and permission journey at the table. Gift supports gifts and complimentary items in relevant scenarios. Each serves a different need; not every campaign requires all three.

Start with one small, meaningful scenario using your existing permission-based guest list. The first-campaign guide and campaign-scenarios guide can help with the next steps. Explore guest communication in Rezervem Connect.

Consent and platform rules

Before sending a campaign, check permission status against the Turkish Ministry of Trade's İYS guidance and Meta's WhatsApp policy. Assess the handling of personal data under KVKK.

A smart segment isn't the same as an automated campaign

Rezervem CRM, which works with Manager, may surface relevant win-back segments when sufficient visit data exists. This does not mean a WhatsApp campaign has been sent. Connect separately manages targeting, Meta templates, the permission gate and delivery outcomes.

Connect's win-back automations can be used when they are enabled in the relevant account or restaurant settings and the template conditions are met. Do not assume they run automatically for every account. See how the automation works.

CRM audiences and Connect have distinct roles

Rezervem CRM is a separate product that supports segment creation from guest history alongside Manager. Connect owns permission-based WhatsApp campaign management and can also work without Manager or CRM.

The article on reconnecting with guests who have not visited recently and the CRM-to-Connect campaign guide explain these boundaries in more detail.
