What happens when staff add a product to a booking?
Rezervem Manager can connect an eligible Rezervem Experience product to an existing restaurant reservation. The current staff-panel process creates a separate order payable at the venue. Recording a birthday cake or set menu is not the same as collecting money from the guest's card.
Reservation context matters: the venue, booking date, meal period and party size can determine which items are actually sellable. A product restricted to evening service should not silently appear as an eligible lunchtime extra.
A celebration booking from table to preparation
Suppose a family reserves a table for four and requests a cake. The host confirms the cake variant, size, price and service moment. The kitchen still needs a clear operational handoff; a note in a reservation field alone does not establish an Experience order or guarantee that the cake will be ready.
Before confirming the extra, staff check availability, party-size rules and any lead-time or sale-cutoff restrictions that apply to the selected channel. They then explain whether the amount is due at the restaurant. A later cancellation may require both the reservation and the linked product order to be reconciled.
Five checks before attaching an extra to a booking
Run these checks with a real venue and an authorised staff account before treating the workflow as ready for guests.
- Verify the booking venue, date, meal period and party size.
- Select a product and variant eligible for the reservation sales channel.
- Confirm quantity, service notes and any lead time or guest-count rules.
- Tell the team and guest that the staff-added order is payable at the venue.
- After a change or cancellation, reconcile the reservation, product order and any separate payment.
How Manager and Experience share the work
Manager supplies the reservation and table context. Experience maintains the catalogue item and linked order. When a member of staff adds the item in the supported panel flow, it is a pay-at-venue purchase; online payment through a product-based Rezervem Pay request is a distinct workflow.
Cancellation does not necessarily mean an immediate successful refund. Check the order state, whether any payment was separately collected and whether preparation began. The team remains responsible for communicating a changed service promise to the kitchen and guest.
